Hours/Schedule:  35 hours/week, some hours virtual

Rate:  $40,000 annual salary plus benefits

Job Description:  Administrative Assistant, Operations will support the  Senior Leadership Team. Provide administrative support to the Chief Administrative Officer, assisting primarily in HR and finance duties along with basic day to day department operations.

Responsibilities:  

Human Resources
  • Collect timesheets and process payroll
  • Execute employee recruitment processes and strategy, including posting job advertisements, screening applicants, conducting phone interviews, managing background and reference checks, drafting offers letters, and keeping files up to date
  • Orient and onboard all new employees
  • Serve as point of contact to benefit vendors and to employees for benefits enrollment and ongoing employee service
  • Executes large-staff events
  • Maintain employee files
Finance
  • Manage receipt of accounts payable and submit for processing, including setting up new vendors and gathering required paperwork
  • Code corporate credit card expenses
  • Provide coding for all deposit/expense activities related to benefits
  • Prepare and make deposits
Departmental Support
  • Provide general administrative support
  • Manage business correspondence, calendar and coordinate meetings and events
  • Ensure all daily operational functions of the department are completed smoothly and efficiently
  • Pull, research or enter data into spreadsheets and/or databases
  • Attend and take meeting notes for departmental meetings
  • Design and prepare departmental reports (i.e. charts, graphs, tables, business plans) 
  • Maintain departmental correspondence and files
  • Order office supplies
  • Complete special projects as required
Qualifications:  
  • College degree preferred
  • 3+ years as an Administrative Assistant or equivalent experience in HR, Operations, or Finance.
  • Excellent organizational and time management skills
  • Must be a self-starter, proactive, well-organized, extremely detail-oriented and an assertive team player
  • Must be capable of handling multiple projects simultaneously with little supervision
  • Excellent verbal and written communication skills
  • Excellent proofreading and editing skills
  • Proficient in Microsoft Office applications: Word, Excel, Powerpoint, Outlook
  • Can handle sensitive information with integrity and confidentiality
  • Must be flexible and adapt to changing priorities
  • Absolute discretion when handling confidential material
