Alexandria, VA non profit looking for a part time Administrative Assistant

Location:  Alexandria, VA 
 
Pay Rate: $25/hour
 
Hours / Schedule: Monday - Thursday, 8:30 – 5pm (3 1/2 months with potential to extend)

Job Description: Administrative Assistant who can provide immediate relief and support to the governance department of an Association 

Responsibilities:
 
  • Processing daily requests including scheduling appointments for the executive director
  • Booking travel and completing expense reports
  • Drafting letters
  • Completing check requests
  • Making copies
  • Conducting Doodle polls
  • Scheduling GoToMeetings and conference calls
  • Sending notifications for Program Leaders and All Staff Meetings
  • Coordinating agenda development and organizing backup materials
  • Monitoring the organization’s travel calendar for upcoming travel for both the executive director and president
  • Completing event registration, hotel reservation and preparing detailed schedule of events
 
Additional duties would include providing assistance with annual conference preparation, including updating the executive director’s VIP list of invited guests, and sending out the letters of invitation; providing support for the Spring and Summer Board Meetings, including catering and coordination of hotel reservations; and handle some overflow for the deputy executive director as needed.

Qualifications:
  • Bachelor’s Degree
  • Strong organizational skills and attention to detail
  • Ability to work efficiently and effectively with limited supervision
  • Proficient in Microsoft Office (Word, Excel, Outlook, Publisher)
  • Meeting planning experience a plus
